Set up Dispatch Options


Dispatch Set up Options control default settings throughout the Dispatch Module.

Shipment reference numbers

Field

Description

Reference 1

The label that is entered here will be used on all shipments as the Reference number.

Reference 2

The label that is entered here will be used on all shipments as the Reference number.

Reference 3

The label that is entered here will be used on all shipments as the Reference number.

Reference 4

The label that is entered here will be used on all shipments as the Reference number.

Reference 5

The label that is entered here will be used on all shipments as the Reference number.

Required

If the box is checked, the field will be required to save a shipment.

Unique

If the box is checked that field must be unique for the customer to save a shipment.

Defaults

Field

Description

Equipment Type

Select a default equipment type for new shipments.

Confirmation sheet

The layout selected here will be the one the system uses for confirmation sheets printed from Ditat in the confirmation sheet 1 option of the trip.

Confirmation sheet 2

The layout selected here will be the one the system uses for confirmation sheets printed from Ditat in the confirmation sheet 2 option of the trip.

Proof of delivery

The layout selected here will be the one the system uses for all Proof of Deliveries printed from Ditat.

Booked for

Choose if all shipments will start out as booked for Company Assets or Brokerage.

Shipment duplication

You can choose if you want to duplicate shipments one-by-one or using a Wizard.

Shipment auto-completion

Choose how the system should add check calls when using the autocomplete button. The default will mark all check calls as 0000 of the current date. If you choose Appt +2hr then the system will auto add check calls as the in time the scheduled time and the time out 2 hours later.

Default driver pay type

This will set the default that is used when all new drivers are added in the system. If set to Payroll all new drivers will be auto set to payroll when you add them and you could then change to settlement if needed. If set to Settlement all new drivers will be auto set to settlement when you add them and you could then change to Payroll if needed.

Booked For

This will be your default selection for all new loads. If you would like to change some customers to be different than your default selection, you may do so under the specific customer(s).

Saferwatch integration

Description

Integrate with SaferWatch

This option must be enabled by the Ditat development team. If you would like this module please contact sales at sales@ditat.com for details on adding this module.

Alert group

This is the group of users that will receive update messages when there are Saferwatch score changes on carriers that are assigned or Enroute on current loads.

SaferWatch customer key

Enter your customer key for SaferWatch.

SaferWatch refresh interval

Select how often SaferWatch should be refreshed.

Last complete refresh on

Displays the date of the last complete refresh.

Last daily sync on

Displays the date and time of the last daily sync.

Perform complete refresh

This box will do a complete refresh where each carrier's score will be pulled again and carriers' contact information will be reloaded.

Saferwatch key

Once the customer has a Saferwatch account, a key needs to be requested to integrate with a TMS Software. This key can be obtained by calling Saferwatch at 844-878-9700.

Hours of service

Field

Description

Base time zone

Select the Time Zone that the HOS should use.

Rule set

Select the HOS rule here that will be applied to all drivers. On each driver, you can select a different rule if necessary.

24 Hour reset exception

Check the box if you need the 24 hour reset exception for your HOS setup.

8 Hour break exception

Check the box if you need the 8 hour break exception for your HOS setup.

Short haul exception

Check the box if you need the short haul exception for your HOS setup.

Waiting time exception

Check the box if you need the waiting time exception for your HOS setup.

Integrations

Description

Integrate with GPS Tracker Aggregator

This option must be enabled by the Ditat development team. If you would like this module please contact sales at sales@ditat.com for details on adding this module.

Configure

This option will appear if you have an integration for Trackers Aggregators. This is for integrations with Fourkites, Macropoint, Project 44, E4score, or 10-4.

Integrate with Tenstreet

This will pull driver information data to Ditat.

Integrate with MyCarrierPackets

This will pull in carrier documentation. This integration will require Saferwatch to pull carrier data into Ditat.

MCP User

Processing User

This user will create the new carrier.

Notify Group

This group will get a message when a new carrier has been created.

Carrier id pattern

This is how the carrier id will be created.

Carrier Type

Here choose the type the carriers should be created as.

Pay company

Here choose the company that will be paying this carrier.

W9 document folder

Here select the folder W9 documents should be put in.

W9 handling

Here choose add or update. If "Add" new documents should be added. If "Update" is selected we will delete old documents and update with the new documents.

Carrier packet folder

Here select the folder that application documents should be added to.

Carrier packet handling

Here choose to add or update. If "Add" new documents should be added. If "Update" is selected we will delete old documents and update with the new documents.

Existing carrier info handling

If an existing carrier is invited, tell us how it should be handled. None, we will not make changes. Update, we will update with new information.

Insurance info handling

Here choose how insurance information should be handled. None, if nothing should be changed. Update, if information should be updated. Add, if information should be added.

Planning board

Description

Mode

Choose which mode you want the Planning board to work in for your company. You can choose Pre-Planning - In this mode, the Planning Board will be pre-filled with Trucks locations from the TMS but moving forward trucks will only be moved by manually moving the trucks on the board by Pre-Planning the Trucks.  This is the intended Mode for the Board.  Fix Burnt Trucks- In this mode, the Planning Board will be pre-filled with Trucks locations from the TMS, moving forward the system will show the truck as available where the driver's latest delivery date has them set to deliver or where they are Pre-Planned to be. Real-Time Sync - In this Mode the Planning Board will continuously move the Trucks to new locations on the Planning Board based on the latest delivery time of all the trips the driver is assigned to.  In this mode, the system drives the planning board, there is no way to manually move a truck. Copy shipment notes to trips after split

Check this box to copy notes that are added on the Planning board to both trips when Split. If the box is not checked notes will disappear once a load is split.

Driver match

Choose if you want the Planning Board to show the driver as Last Trip Assignment (the Last driver assigned to trip in Truck will be displayed as in the Truck) or Per Setup (Drivers will show as assigned only to trucks that they are assigned to on their driver's profile.

Pickup/Destination display

Choose if you would like the shipments to show City/State for Pickup and Delivery or the Location Id.

Id to display

Choose a reference Id to display on the Planning Board. This can be the standard shipment Id number or any of the 5 reference fields from the shipment.

Field

Description

Use GPS from trailers

This box will be checked by default. If the box is checked the system will use the trailer's GPS pings if available for tracking a load and for calculating an ETA for a load to the next stop.

Use GPS from trucks

This box will be checked by default. If the box is checked the system will use the truck's GPS pings if available for tracking a load and for calculating an ETA for a load to the next stop.

Use GPS from drivers

This box will be checked by default. If the box is checked the system will use the driver's mobile devices GPS pings if available for tracking a load and for calculating an ETA for a load to the next stop.

Avg single MPH

Enter the MPH to use for calculating ETA’s when a single driver is dispatched on a trip.

Avg team MPH

Enter the MPH to use for calculating ETA’s when a team is dispatched on a trip.

Avg with HOS MPH

Enter the MPH to use for calculating the ETA’s when integrated with Hours of Service.

Live Track

Use this field to determine what type of Live tracking will be supplied to Customers. You can choose to disable, use strict tracking (Only show tracking while on the expected route), or to show out of route.

Check Calls via Email

Check Call emails are sent out on a 5-minute interval timer after they are accepted.

Notify group

This group will be notified when there are any issues emailing check calls to Customers.

Email account

This is which email account will be used to email check calls out to Customers.

Pickup time in

Select which template to use for emailing this check call to a Customer.

Pickup time out

Select which template to use for emailing this check call to a Customer.

Delivery time in

Select which template to use for emailing this check call to a Customer.

Delivery time out

Select which template to use for emailing this check call to a Customer.

Status

Select which template to use for emailing status check calls to a Customer.

Track Status

Choose the mail template for the Track Status check call.

Track Status Frequency

Select a frequency for sending Track Status check call notifications. These notifications will send every hour, two hours, three hours, or four hours regardless if any new check calls have been entered.

Max retry count

This is how many times the system will try to send the emailed check calls emails if they fail.

Auto Dispatch

Description

Enabled

This option must be enabled by the Ditat development team. If you would like this module, please contact support at support@ditat.com for details on adding this module.

User

Select the Ditat user that will be used to auto accept the pending check calls. By default should be set to Auto Dispatch a user created only to accept these pending check calls.

Default profile

Select the auto dispatch profile that the company will use. Other profiles can be added to Customers or Drivers if needed for more or less strict guidelines on which pending check calls should be accepted.

GPS Pending check calls

Description

Generate

You can use this option to disable the generation of GPS check calls.

Geofence radius

This will be the radius near a location that the system will accept as at the location. By default, this is set to .3 miles.

Out of route threshold

This is how far out of route a unit can go and still calculate eta.

Mobile dispatch pending check calls

Field

Description

Timeliness of GPS pings (minutes)

This option refers to how recent a GPS ping is in relation to the last check call for the system to show it as a GPS match. The system by default uses 30 minutes.

Max distance from location (miles)

This option refers to how close to a location a GPS ping needs to be to show as a GPS match. The system by default uses 1 mile.

Correction speed (MPH)

This option refers to how many miles per hour should the system all for to match a driver's location to the location for the pending check call, for the system to show it as a GPS match. The system by default uses 0 MPH.

Split manager

Field

Description

Bobtail from split point as default

If the box is checked the system will automatically add bobtail from split point out when splitting a trip.

Trip assignment wizard

Description

Include 'assigned' when suggesting trucks

If the box is checked the system will show trucks that are assigned on other trips when suggesting trucks to handle this trip. This will allow you to see if there is a truck that is closer and would be a better option for this load.

Use scheduled arrival when suggesting trucks

If this box is checked then the system will show trucks that are scheduled to deliver before the pickup time for this trip, so you can see trucks that will be there when assigning loads in the future.

Require note on Bobtail

If this box is checked anytime bobtail is added in the trailer assignment wizard a note will be required.

Pre-fill driver

The assignment wizard will select the driver from planning board data unless disabled by selecting “none.”

Pre-fill trailer

The assignment wizard will select the trailer from planning board data unless disabled by selecting “none.”

Pre-fill unloaded origin

The assignment wizard will select the unloaded origin from planning board data unless disabled by selecting “none.”

Show vendor tab

Selecting this option will enable the vendors tab in the trip assignment wizard. Up to 6 vendors are able to be assigned.

Show return stop tab

Select this option to enable the return stop tab in the trip assignment profile. This can be helpful for frequent round trips or if you frequently add stops back to the terminal or drivers house.

Dispatch rules

All dispatch rules can be set to Don't check or required.  If required, the rule must be met, or you will not be able to save a trip.  For example, Rule if the Driver License rule is set to Required then you would not be able to save a driver to a trip if they have an expired license.

Don’t Check - This option will ignore the rule.

Required - This option will require the rule to be met by providing a validation when trying to save if not satisfied.

Rule

Description

Driver_License

This rule will check the driver profile is the license is expired.

Truck_Tags

This rule will check the truck profile if the tags are expired.

Trainee

This rule will require the trainee to be the secondary driver with a trainer as the primary.

Team_Second

This rule will not allow a secondary driver of a team to be assigned as the primary driver on a trip.

Truck_Owner_CO

This rule will only allow company drivers to run loads in company owned trucks.

Truck_Owner_OO

This rule will only allow lessor drivers to run loads in trucks assign to the same lessor profile.

Team

This rule will require team drivers to be assigned to the same lessor profile.

Carrier_Insurance

This rule will require Carriers to have insurance for brokerage loads.

Hazmat

This rule will require hazmat loads to be run by a driver with a hazmat endorsement.

Driver_Truck

This rule will require the truck that is used to be assigned in the driver’s profile that will be on the trip.

Shipment_Revenue

This rule will require the shipment to have a rate before it can be dispatched.

Driver_Physical

This rule will check if the driver physical expiration has expired.

Truck_Service

This rule will check on the truck if the Next Service On date has expired.

Truck_Inspection

This rule will check on the truck if the Next Inspection date has expired.

Trailer_Inspection

This rule will check on the trailer if the Next Inspection date has expired.

Truck_Insurance

This rule will check if the truck has current insurance.

Carrier_Customer_Insnc

For brokerage loads, this rule will check if the carrier’s total coverage is high enough to meet the specifications of all insurance requirements on the customer profile.
